Creating a Work Order

Set up a field task for a project and assign it to a team member.

Who can create work orders

Admins, ops directors, branch managers, project managers, maintenance planners, and site supervisors. Technicians don't create work orders — they work on the ones assigned to them.

Creating one

Open Work → Work Orders and click New work order — or click New work order from a project page, which pre-selects that project.

  1. Project (required) — the job the work is for.

  2. Phase (optional) — the stage of the project this task belongs to. Only phases of the selected project are offered.

  3. Assignee (optional) — pick a team member now, or leave it open and assign later.

  4. Title (required) — a clear task name, e.g. "Replace chiller pump bearings".

  5. Description (optional) — detail the crew will see on the work order.

  6. Priority — Low, Normal, or High. Normal is the default.

  7. Scheduled date (optional) — when the work is planned for.

  8. Click Create work order. You land on the work order page with its generated code.

The Urgent priority option is currently unreliable

The form offers a fourth priority, Urgent, but saving a work order with it currently fails due to a system limitation. Until this is fixed, please use High for your most pressing work.

What happens next

  • The work order starts in Open status.
  • If you assigned it, the technician can start immediately — it appears in their work order list.
  • The work order now accrues cost to the project as soon as entries are logged on it. Its phase (if any) determines where it shows in the project's phase breakdown.

Tips

  • Work from the project page when creating many tasks for the same job — the project is pre-selected and you can't pick the wrong one.
  • Assign early. Unassigned work orders sit in the list until someone picks the assignee; only the assignee can start the work.
