Budget Notifications
How GoCrew warns project managers when project costs approach or exceed the budget.
Budget notifications are GoCrew's early warning system. When a project's costs cross a budget threshold, the project's managers hear about it — without anyone having to watch the numbers.
When notifications fire
Each budget category carries two thresholds (set on the budget line, default 80% and 100%):
- Warn — crossing the warn threshold (default 80% of the budget) sends a budget warning: costs are approaching the line.
- Alert — crossing the alert threshold (default 100%) sends a budget alert: the category is over budget.
Notifications are evaluated every time a time log or material entry is committed on the project's work orders, so they reflect real spending the moment it is recorded.
Who receives them
The project's project managers — org-wide project managers, and project managers scoped to that specific project. Admins and supervisors see the same picture on the dashboard and cost pages, but the notification itself targets the people accountable for the budget.
Reading them
Notifications appear in the bell menu (with an unread count) and on the Notifications page:
- A warning or alert badge shows which kind it is.
- The message names the project, the category, and the actual cost that crossed the line.
- View project takes you straight to the project's budget.
- Mark read clears the unread dot once you've dealt with it.
Behavior worth knowing
- One notification per crossing — you get a warn when you cross 80% and an alert when you cross 100%, not a flood on every entry afterward. If costs later drop back below a threshold (for example after a correction), crossing it again notifies once more.
- Thresholds are per category. A project can be at Warn in Labor and at Alert in Materials at the same time.
- They follow the budget. If a manager revises the budget, the same actual cost can fall back out of (or fall into) a threshold.
