Revising the Budget
Change a budget line's amount or thresholds — and when a justification is required.
Budgets are living numbers. When scope changes, you revise the budget rather than deleting and recreating it, so the project keeps a full revision history.
Who can revise a budget
Admins, ops directors, branch managers, and project managers — the same roles that can update projects.
Revising a line
- Open the project and click Revise budget.
- Pick the category (Labor, Materials, Subcontractor, or Overhead).
- Enter the new amount, and adjust Warn threshold (%) and Alert threshold (%) if needed. Enter percentages such as 80 for a warning at 80% and 100 for an alert at 100%.
- Add a reason / justification when it's required (see below).
- Click Save revision.
The page shows the line's current budget and accrued actual so you can see where you stand before saving.
The justification rule
You can freely raise a budget. But if you lower an amount below what the project has already spent in that category, a reason is required.
When that happens, the reason field is flagged as required and the form explains it: "This amount is below the accrued actual cost. A justification is required." Write why the reduction is justified — for example, a scope change or a transferred budget — and save.
Why this rule exists
A budget below the money already spent hides an overspend. Requiring a written reason keeps those decisions deliberate and visible in the audit log.
What gets recorded
Every revision stores the previous amount, the new amount, the reason, and who made the change — both in the project's revision history and in the audit log. Nothing is overwritten silently.
