Recording Materials
Record parts used on a work order — the parts catalog, quantities, and how materials are priced.
Material entries turn parts from your catalog into materials cost. Like time logs, they are recorded on the work order page while the work is In progress.
Recording usage
- Open the work order (it must be In progress and you must be the assignee — admins can always record).
- In the Record materials card:
- Part — pick from your organization's parts catalog. Each option shows its unit and standard cost, e.g. "Copper Pipe 3/4" (ft @ 4.00)".
- Quantity — a positive number, in the part's unit of measure.
- Note (optional) — context for the usage.
- Click Record usage. The entry appears in the material usage table and updates the cost summary immediately.
How materials are priced
Each entry is priced at the part's standard cost at the moment of use:
amount = quantity × standard cost, rounded to 2 decimals
For example, 42 ft of pipe at a 4.00 standard cost is a 168.00 entry.
The snapshot rule applies here too: updating a part's standard cost later never changes past entries. The part's cost is managed by an admin on the Parts page; the new price applies only to future usage.
The parts catalog
The catalog lives under Setup → Parts. Work order entry needs the parts to exist there first — there is no in-app part creation yet, so contact GoCrew support if a material is missing. See Parts for how the catalog works.
Who can record and correct
- The assignee records usage on their work order.
- Supervisors and managers can edit entries afterward — see Correcting cost entries.
- Recording stops once the work order is Completed, Closed, or Cancelled. (An admin can still correct an existing entry after closure.)
