Correcting Cost Entries
Fix a wrong time log or material entry — who can, and what stays immutable.
Mistakes happen — six hours logged instead of sixteen, the wrong part quantity. GoCrew handles corrections deliberately: entries are edited, not deleted, and the change is audited.
Who can correct an entry
- Supervisors and managers (site supervisor, branch manager, project manager) and admins can edit time logs and material entries on work orders they can see.
- Everyone else sees their own entries but cannot edit them — ask a supervisor or admin.
On terminal work orders (Closed or Cancelled), corrections are closed off for everyone — except admins, who can still correct an entry after closure.
How to correct
- Open the work order and find the Time logs or Material usage table.
- Click Edit on the entry.
- Change the hours, quantity, date, category, or note as needed.
- Save. The entry's amount is recomputed immediately and the project's costs update.
What a correction recomputes — and what it doesn't
The amount is always recalculated from the originally captured price:
- A time log is re-priced at the rate that was snapped when it was first logged — not the person's current rate.
- A material entry is re-priced at the part's standard cost as of the original entry — not today's catalog price.
This means correcting a quantity fixes the entry without silently re-pricing history, and a rate change made between the original entry and the correction can't leak into the result.
What is never possible
- Deleting individual entries — corrections are edits, not deletions.
- Re-pricing history — changing someone's hourly rate or a part's standard cost never touches past entries; see Logging time and Recording materials.
- Silent changes — every correction lands in the audit log with before/after values.
