Logging Time
Record crew hours on a work order — categories, the date window, and how labor is priced.
Time logs turn crew hours into labor cost. They are recorded on the work order page while the work is In progress.
Logging time
- Open the work order (it must be In progress and you must be the assignee — admins can always log).
- In the Log time card:
- Date — defaults to today.
- Category — Productive for hands-on work, Travel for getting to and from the job.
- Hours — a positive number, e.g.
6or1.5. - Note (optional) — what the hours were for, e.g. "Pump bearing replacement".
- Click Log time. The entry appears in the work order's time logs table and its amount is added to the cost summary immediately.
The date window
Entry dates are accepted within a grace window around today: up to 7 days in the past and 1 day into the future. This keeps field crews able to log yesterday's work (or last Friday's on Monday) while keeping entries honest. Dates outside the window are rejected — see Troubleshooting.
How labor is priced
Each entry is priced at the team member's hourly rate at the moment of logging:
amount = hours × hourly rate, rounded to 2 decimals
For example, a technician with a 40.00 rate logging 6 productive hours creates a 240.00 entry; an additional 1 travel hour adds 40.00.
Two things follow from this snapshot rule:
- Changing someone's rate later never rewrites their past entries. Rates are set on each team member's record; there is no in-app rate editor yet, so contact GoCrew support when a rate needs to change. The change only affects future logs.
- The rate stays on the entry. The cost drill-down always shows the rate that was actually used.
Who can log and correct
- The assignee logs time on their work order.
- Supervisors and managers can edit entries afterward — see Correcting cost entries.
- Once the work order is Completed, Closed, or Cancelled, logging stops. (An admin can still correct an existing entry after closure.)
