Common Issues

What GoCrew's messages mean and what to do about them.

This page maps the messages you're most likely to meet to their cause and fix.

Permissions and visibility

"Financial figures are not visible for your role." You're on a project page, but your role doesn't include financial visibility. Only admins, ops directors, branch managers, project managers, and site supervisors see budgets and costs. The project's work (phases, work orders) is still fully visible to you.

"You do not have permission to view financial summaries." The Cost Summary page is restricted to the financially-visible roles above.

"Your role does not have access to the audit log. This view is limited to administrators and operations directors." Exactly that — the audit log is for admins and ops directors.

A page redirected me somewhere else. Some pages are role-restricted and redirect rather than show an error: only admins can open Team and Billing. You also land on the sign-in page if your session has ended — signing in returns you to where you were going.

Something is missing from my lists. If your account is scoped to specific branches or sites, you only see work within your scope. Items outside it don't appear at all. Contact GoCrew support to check or change your account's scope.

Budgets and costs

"This amount is below the accrued actual cost. A justification is required." You're lowering a budget line beneath what the project has already spent in that category. GoCrew asks for a written reason first — see Revising the budget. If the reduction is a mistake, raise the amount instead.

I logged time / recorded materials but the amount looks wrong. Entries are priced at the rate or cost captured at the moment of logging. Check the entry in the cost drill-down — it shows the exact rate and amount. If the entry itself is wrong, a supervisor or admin can edit it (see Correcting cost entries).

I can't log time on a work order. Time and materials can only be logged while the work order is In progress — and by the assignee (or an admin). If the order is Completed, it's awaiting supervisor review; if Closed or Cancelled, it's terminal. An admin can reopen a closed order if closure was a mistake.

My entry date was rejected. Dates are accepted within a window around today: up to 7 days back, and 1 day forward. Log the entry with today's date if the work date is older than that.

Work order management

"This phase is referenced by work orders and cannot be deleted. Move those work orders to another phase first." Exactly what it says: reassign or remove the work orders on that phase, then delete it. See Phases.

Deleting a work order failed. Deletion only works for non-terminal work orders with no time logs or material entries — anything with cost history must be cancelled instead.

I saved a work order with the "Urgent" priority and it failed. This is a known current limitation: the form's Urgent option is not accepted by the system yet. Use High in the meantime.

Invitations

"This invitation has expired" — the 7-day validity ran out. An admin resends the invitation, which generates a fresh link and restarts the window.

"This invitation was revoked" — the invitation was cancelled. Ask the organization's admin to invite you again.

"This invitation link is not valid" — the link is unknown or already used (every link is single-use). If you may have accepted already, try signing in; otherwise ask the admin who invited you.

Signing in

"Invalid email or password." Check the email — GoCrew accounts use one email per person, often a work address. Passwords are case-sensitive.

I got locked out of signing in for a while. Sign-in attempts are rate-limited to protect accounts. Wait a minute and try again.

I was signed out unexpectedly. Sessions expire after a period of inactivity; just sign in again. If it happens repeatedly, contact [email protected].

Still stuck?

Contact us at [email protected] — include your organization name and, if relevant, a project or work order code. Admins and ops directors can also check the audit log to see exactly what changed and when.
